This Privacy Policy explains how PropScribe ("we", "us", "our") collects, uses, stores, and protects personal information when you use the PropScribe application and services. We are committed to complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. What information we collect
Account information
- Email address and password (used for account creation and sign-in via Firebase Authentication)
- Name and agency name (optionally provided in your profile)
Inspection data
- Property addresses entered during inspections
- Photographs taken or uploaded during inspections
- Voice notes recorded during inspections (transcribed locally on your device; only the transcribed text is stored)
- AI-generated condition descriptions and reports
CRM data
- Contact names, phone numbers, and email addresses for tenants, landlords, and tradespeople you add to your account
- Communication logs and notes you record
- Maintenance job details and quotes
Usage data
- Standard server logs (IP address, browser type, pages visited) for security and service improvement
2. How we use your information
- To provide and operate the PropScribe service
- To generate AI-powered property condition reports using Anthropic's Claude API
- To send report PDFs to the email addresses you specify
- To improve the service and fix bugs
- To communicate with you about your account or subscription
We do not use your data to train AI models and we do not sell your data to third parties.
3. Third-party services
PropScribe uses the following third-party services to operate:
- Google Firebase / Firestore / Cloud Storage — authentication, database, and file storage (Google LLC, US)
- Google Cloud Run — backend processing (Google LLC, US)
- Anthropic — AI analysis of inspection photos (Anthropic PBC, US)
- SendGrid (Twilio) — email delivery of reports (Twilio Inc., US)
- Stripe — payment processing (Stripe Inc., US)
Each provider operates under their own privacy policies and data processing agreements. Where data is processed or stored overseas, we take reasonable steps to ensure it is protected to a standard comparable to Australian law.
4. Data storage and security
- Data is stored on Google Cloud infrastructure, primarily in the australia-southeast1 (Sydney) region
- All data in transit is encrypted via HTTPS/TLS
- Access to your data is restricted to your account credentials
- Inspection photos and PDFs are stored in Google Cloud Storage with access controls
5. Data retention
We retain your inspection data, contacts, and reports for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law.
Report PDFs are stored for up to 12 months from the date of generation.
6. Your rights
Under the Privacy Act 1988, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your data (subject to legal obligations)
- Complain about how we handle your information

7. Cookies
PropScribe uses session storage and local storage in your browser to maintain your login session. We do not use third-party advertising cookies.
8. Children
PropScribe is intended for use by property management professionals. We do not knowingly collect information from persons under 18 years of age.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notice. Continued use of PropScribe after changes constitutes acceptance of the updated policy.

If you believe we have mishandled your personal information, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
